We're a Sydney software studio. We only collect what we need to respond to you and deliver our work, we don't sell your data, and you can ask to see or correct what we hold at any time.
Systorm builds custom software for the scrap-metal industry. This policy explains how Systorm Pty Ltd (ABN 48 680 295 961) ("Systorm", "we", "us") handles personal information across this website and our engagements with clients.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using this site or contacting us, you accept the practices described here.
What we collect
Your name, business, and email when you contact us; basic technical and usage data when you browse; and — only under a signed agreement — the operational data of a client's yard while we build and support their systems.
We collect personal information directly from you, and some technical information automatically when you use the site.
Information you give us
- Enquiries. When you submit the contact form or email us, we collect your name, business name, email address, and anything you write in your message.
- Engagement details. If we begin work together, we collect the business and contact information needed to scope, deliver, invoice, and support the build.
Information collected automatically
- Technical data. IP address, browser and device type, and referring pages — used to keep the site secure and working.
- Usage data. Pages viewed and broad interaction patterns, collected through analytics (see Cookies & analytics).
Client operational data
When engaged to build or support a system, we may process data from a client's operation — vendor records, weighbridge and ticket data, inventory, timesheets, and accounting records. This data belongs to the client. We act on the client's instructions under a separate written agreement, and we only access what's needed to deliver and support the work.
How we use it
We use personal information only for the purpose it was provided, and related purposes you'd reasonably expect:
- To respond to your enquiry and have a conversation about your operation.
- To scope, deliver, support, and invoice custom software work.
- To operate, secure, and improve this website.
- To send service or project communications you've asked for, or that relate to work in progress.
- To meet our legal, tax, and record-keeping obligations.
We do not use your information for automated decision-making that produces legal effects, and we do not sell or rent personal information to anyone.
Cookies & analytics
We use a small number of cookies to keep the site working and to understand traffic in aggregate. You can block them in your browser; the site still works.
Cookies are small files stored by your browser. We use essential cookies for core site function and analytics cookies via Google Analytics to measure how the site is used in aggregate.
You can refuse or delete cookies through your browser settings. Blocking analytics cookies won't break the site. Where required, we'll ask for your consent before setting non-essential cookies.
Third parties & integrations
We rely on a small set of trusted providers to run our business and deliver client work. Each only receives the information needed for its task, and is bound by its own privacy and security obligations.
When we connect a client's system to an accounting platform, that platform's own terms and privacy policy govern the data it holds. We only move the data the client has authorised, for the function they've asked us to build.
Disclosure
We disclose personal information only:
- To the service providers listed above, so they can perform their function for us.
- Where you've asked us to, or have otherwise consented.
- Where required or authorised by law, or to a court, regulator, or law-enforcement body.
- To a successor entity if our business is reorganised, merged, or sold — subject to this policy.
We never sell personal information.
Overseas storage
Some of our providers may store or process data on servers located outside Australia (such as the United States and EU). Where this happens, we take reasonable steps to ensure those providers handle your information consistently with the Australian Privacy Principles.
Security
We take reasonable technical and organisational steps to protect personal information from misuse, loss, and unauthorised access — including access controls, encryption in transit, and limiting who can see what to those who need it for their work.
No system is perfectly secure. If a data breach occurs that is likely to cause serious harm, we'll act under the Notifiable Data Breaches scheme and notify affected individuals and the OAIC as required.
Retention
We keep personal information only as long as needed for the purpose it was collected, or as long as the law requires (for example, tax and business records are typically kept for 7 years). When information is no longer needed, we destroy or de-identify it.
Your rights
You can ask to see the personal information we hold about you and ask us to correct it. Contact us and we'll respond within a reasonable time, usually 30 days.
Under the Australian Privacy Principles, you may:
- Access the personal information we hold about you.
- Correct information that is inaccurate, out of date, or incomplete.
- Opt out of non-essential communications at any time.
- Complain if you believe we've mishandled your information.
To make a request, email privacy@systorm.com.au. We may need to verify your identity first, and we'll respond within a reasonable period.
Children
Our website and services are intended for businesses and the people who run them. We don't knowingly collect personal information from children. If you believe a child has provided us information, contact us and we'll delete it.
Changes
We may update this policy as our practices or the law change. The current version always lives at this URL, with the "last updated" date at the top. Material changes will be made prominent. Continuing to use the site after a change means you accept the updated policy.
